In much of the world, WhatsApp is not one channel among many — it is how customers expect to talk to a business. If your clients sell in Latin America, Europe, the Middle East, Africa or South Asia, leaving WhatsApp out of the CRM means leaving out most of the conversation.

The GoHighLevel WhatsApp integration brings those conversations into the same inbox as SMS, email and calls, and lets workflows send WhatsApp messages automatically. This guide covers what you need, how to set it up, how templates and the 24-hour window work, what it costs, and the mistakes that get numbers restricted.

How WhatsApp works inside GoHighLevel

GoHighLevel connects to the official WhatsApp Business Platform operated by Meta. That matters, because it means the rules are Meta’s rules. Three follow from it:

  • You need a Meta Business account and a phone number registered to the WhatsApp Business Platform.
  • Messages you start must use approved templates. You cannot send a free-text message to someone who has not written to you recently.
  • Customers must have opted in to hear from the business on WhatsApp.

Once connected, WhatsApp messages appear in the Conversations inbox alongside every other channel, attached to the contact record, and WhatsApp becomes an action you can add to workflows.

What you need before you start

  • A GoHighLevel sub-account with the WhatsApp add-on enabled.
  • Admin access to the business’s Meta Business account, or permission to create one.
  • A phone number that can receive a call or text for verification and is not currently active in the consumer WhatsApp app. A number already in use must be removed from the app first.
  • A display name that matches the business, as Meta reviews it.
  • Business verification documents, if the business wants higher sending limits.

Setting up the integration

  1. Enable WhatsApp in the sub-account settings and start the connection.
  2. Log in with Facebook and select, or create, the Meta Business account and WhatsApp Business account.
  3. Add and verify the phone number with the code Meta sends.
  4. Set the display name and business profile — description, address, website and logo.
  5. Create your first templates and submit them for approval.
  6. Send a test message from your own phone to the business number and reply from the Conversations inbox.

Screens and menu labels change as both GoHighLevel and Meta update their products, so follow the prompts in your account if they differ slightly from this order.

Templates and the 24-hour window

This is the part that confuses most new users, and it decides both what you can send and what it costs.

When a customer sends your business a message, a 24-hour customer service window opens. During that window you can reply with ordinary free-text messages. Each new message from the customer restarts the clock.

Once the window has closed, or if the customer has never written to you, you can only send a template message — a message format that Meta has approved in advance.

Template categoryUsed forExample

MarketingPromotions, offers, re-engagementSeasonal offer, win-back message

A few practical rules for getting templates approved:

  • Choose the correct category. Promotional wording in a utility template is a common reason for rejection.
  • Use placeholders for personal details, in the format Meta requires, and provide sample values.
  • Write clearly and identify the business. Vague or misleading templates are refused.
  • Keep templates in each language you send in.

What it costs

There are two parts to the cost, and both change from time to time:

  • A GoHighLevel subscription fee for the WhatsApp add-on, charged per sub-account.
  • Meta’s messaging charges, which depend on the template category and the recipient’s country. Replies inside the 24-hour window are treated differently from templates you send outside it.

Check the current figures in your account’s billing settings and on Meta’s rate card before quoting a client. Agencies on the SaaS plan can rebill usage. For how add-on costs fit together, see our GoHighLevel pricing guide.

Automations worth building first

  • Instant enquiry reply. When a lead writes in, acknowledge them and ask one qualifying question.
  • Appointment reminders using a utility template, with a quick-reply to confirm or reschedule.
  • Missed-call follow-up on WhatsApp for markets where customers prefer it to SMS.
  • Quote and invoice follow-up once a proposal has been sent.
  • Review requests after a job is completed.

The same workflow can branch by channel, so a contact with WhatsApp consent receives a WhatsApp message and everyone else receives SMS or email. Our workflow sequences guide has the full set of sequences to adapt.

Mistakes that get numbers restricted

  • Messaging people who never opted in. Imported lists and purchased numbers lead to blocks and reports, which lower the number’s quality rating.
  • Sending too much, too fast. New numbers have daily limits that rise as quality stays high. Scale gradually.
  • Ignoring opt-outs. Honour any request to stop, in whatever words the customer uses.
  • Using unofficial connection tools. Services that work outside Meta’s official platform put the number at risk of being banned.
  • Treating WhatsApp like bulk SMS. It is a conversation channel. Relevance protects the account.

Collecting WhatsApp opt-in properly

Meta requires that people agree to receive WhatsApp messages from your business, and a number that messages people without consent will not keep a good quality rating for long. Opt-in can be collected in several ways:

  • A checkbox on a form stating that the customer agrees to be contacted on WhatsApp, with the business name.
  • A click-to-WhatsApp button or advert, where the customer starts the conversation themselves.
  • A QR code in a shop, on packaging or on a business card that opens a chat.
  • A message from the customer asking for information, which opens the service window.

Store the consent on the contact record, with a field or tag that your workflows check before sending any template. Keep WhatsApp consent separate from SMS and email consent, because agreeing to one is not agreeing to the others.

What to measure

  • Delivery and read rates for each template.
  • Reply rate — the clearest sign that a message was welcome.
  • Bookings or sales that followed a WhatsApp conversation.
  • Blocks and opt-outs, which warn of a problem before the quality rating drops.
  • Cost per conversation, compared with SMS for the same audience.

Review the numbers template by template. One poorly targeted marketing message can undo the reputation built by months of useful reminders.

Frequently asked questions

Can I use my existing WhatsApp Business app number?

Generally the number has to be moved from the app to the Business Platform, after which the app can no longer be used on it. Confirm the current options before migrating a number the team relies on.

Can several team members reply from one number?

Yes. That is one of the main advantages: everyone works from the shared inbox with the full history on the contact record.

Can the AI assistant answer WhatsApp messages?

Conversation AI can reply on connected channels, including WhatsApp where it is enabled. See our Conversation AI guide.

Do WhatsApp messages need A2P 10DLC registration?

No. A2P 10DLC applies to SMS in the United States. WhatsApp has its own approval process through Meta.

Is WhatsApp worth it for a US-only business?

Usually SMS matters more there, but businesses serving international or immigrant communities often find WhatsApp is the channel their customers answer.
