GoHighLevel Toll-Free Verification: What to Submit and How to Get Approved

Toll-free numbers must be verified before they can text customers in the US and Canada. Here is what GoHighLevel asks for, how long it takes and how to avoid a rejection.

A toll-free number looks like the easy route into business texting: no brand registration, no campaign vetting, one number for the whole country. Then the first campaign goes out and nothing arrives. The reason is almost always the same — the number was never verified.

GoHighLevel toll-free verification is the approval process every toll-free number has to pass before carriers will deliver its text messages in the United States and Canada. This guide explains who needs it, exactly what to prepare, how long it usually takes, why requests are rejected and how toll-free compares with a local 10DLC number.

What toll-free verification is

Toll-free numbers — the ones beginning 800, 833, 844, 855, 866, 877 and 888 — can send and receive SMS as well as calls. Because they were heavily abused for spam, the carriers now require every business that texts from one to prove who it is and what it intends to send. Messages from an unverified toll-free number are blocked rather than delivered.

Verification is not the same thing as A2P 10DLC registration. 10DLC applies to ordinary local numbers and runs through The Campaign Registry. Toll-free verification is a separate review handled through the toll-free messaging aggregator. You complete one or the other depending on the type of number, never both for the same number.

Two points are worth knowing before you start:

  • Voice calls are unaffected. An unverified toll-free number can still make and receive calls. Only text messaging is restricted.
  • Verification belongs to the number and the business. Each client that texts from a toll-free number needs its own verification under its own business details.

Toll-free or 10DLC: which should you use?

Both routes lead to compliant business texting. The right choice depends on how the business presents itself and what it sends.

A plumber, dentist or estate agent usually benefits from a local number that customers recognise. A national e-commerce brand or a software company often prefers one toll-free line. If you choose the local route, follow our A2P 10DLC registration guide instead.

What you need before you start

Reviewers compare what you submit with public records and with your website. Gather everything first so the details match exactly.

  • Legal business name, exactly as registered, including suffixes such as LLC or Inc, plus any trading name.
  • Business address — the registered address, not a mailbox service where that can be avoided.
  • Business registration or tax number. Requirements have tightened, and you should expect to be asked for it.
  • A live website that shows the same business name and explains what the business does.
  • A contact person with a monitored email address and phone number.
  • Your use case — for example appointment reminders, order updates, two-factor codes or marketing offers.
  • Sample messages that match the use case, include the business name and carry opt-out wording.
  • A description of how people opt in, with a link or screenshot of the form.
  • An honest estimate of monthly message volume.

How to submit toll-free verification in GoHighLevel

  1. Buy the toll-free number in the sub-account under phone number settings. GoHighLevel prompts for verification details when a toll-free number is purchased.
  2. Open the verification form for that number from the phone numbers or trust centre area of the sub-account settings.
  3. Enter the business details exactly as they appear on official records.
  4. Describe the use case in plain language. One or two specific sentences are better than a vague paragraph.
  5. Add sample messages. Use realistic examples, such as: “Smith Dental: your appointment is tomorrow at 2:30pm. Reply C to confirm. Reply STOP to opt out.”
  6. Explain the opt-in. State where the consent is collected and paste the URL of the form or page.
  7. Submit and wait. The request is passed to the messaging provider and the toll-free aggregator for review.

Menu names in GoHighLevel change from time to time. If the form is not where you expect, search the help centre for “toll-free verification” or ask support to point you to it.

How long approval takes

There is no guaranteed turnaround. Straightforward requests are often approved within a few business days, while busy periods or incomplete submissions can stretch the wait to several weeks. Do not schedule a campaign for the day after you submit. Build the delay into your onboarding plan and tell the client in advance — our client onboarding SOP shows where this step belongs.

Why requests are rejected, and how to fix them

  • The business name does not match. Using the trading name where the legal name is required is the most common failure. Correct it and resubmit.
  • The website is missing or thin. A parked domain, a social media page or an unfinished site is not enough. Publish a real site before applying.
  • No clear opt-in. If reviewers cannot see how a customer agrees to receive texts, the request fails. Add an unticked consent checkbox with clear wording to your form.
  • The privacy policy is silent on SMS. State that mobile numbers and text messaging consent are not shared with third parties for marketing.
  • Samples do not match the use case. A request described as reminders with promotional samples will be refused.
  • Restricted content. Certain categories, including cannabis, gambling and high-risk lending, are not eligible.

A rejection normally states a reason. Change the specific item that was wrong instead of sending the same details again.

After approval: staying in good standing

Approval allows you to send; it does not protect you from filtering. Send only the kind of messages you described, honour STOP requests immediately, keep to reasonable hours in the recipient’s time zone and avoid public link shorteners. If the business name, website or message type changes, update the verification. For the wider picture, see our guide to SMS delivery rates.

A checklist for agencies handling several clients

Agencies submit these requests repeatedly, and the same preparation saves days each time.

  • Collect the client’s legal name, registration number and address in the onboarding form, before the number is purchased.
  • Check the client’s website for a privacy policy that mentions text messaging. Add the wording if it is missing.
  • Build the opt-in form first, so you have a real URL to submit.
  • Keep a short library of approved sample messages for each use case, and adapt them rather than writing from scratch.
  • Record the submission date and status in the client’s pipeline card, with a task to check progress every few days.
  • Tell the client that texting starts after approval, and give them a realistic range rather than a date.
  • Run a test message to your own phone as soon as the status changes to verified.

One submission that is right the first time is faster than two quick ones.

Frequently asked questions

Can I send texts while verification is pending?

Plan on not being able to. Unverified toll-free traffic is blocked by carriers, so treat the number as voice-only until approval arrives.

Do I need both toll-free verification and A2P 10DLC?

Only if the same business uses both kinds of number. Each number type has its own process.

Can an agency verify a toll-free number on behalf of a client?

The agency can complete the form, but the details must be the client’s own business, website and opt-in process.

Does a sole trader qualify?

In many cases yes, although the information requested has become stricter. Check the current requirements in the form before buying the number.

Is toll-free cheaper than 10DLC?

The verification itself usually carries no registration fee, but number rental and per-message charges still apply. Compare both in your account’s billing settings rather than assuming.
